The best Zapier alternatives for solo freelancers in 2026, by what you really pay
For a solo freelancer, n8n self-hosted is the cheapest way to connect apps if you can run a server, Make and Pipedream suit mid-sized volumes, and Barside runs AI workflows on your own computer for free, paying only your AI company.
The best Zapier alternatives for a solo freelancer in 2026 depend on what you automate and how you are billed for it. If you connect web apps to each other, n8n self-hosted costs the least once you run your own server, while Make and Pipedream sit between n8n and Zapier for most solo volumes. If your automations are mostly AI jobs, such as turning a newsletter into posts or a call into tasks, Barside runs them on your own computer for free and you pay only the AI company you connect. This page counts three common freelancer workflows on each tool, so you can see where the meter ticks and where surprise bills come from.
We make Barside, so we say plainly where it does not fit. It has no app-to-app connectors, and for that kind of job the other four tools are the right choice.
The best Zapier alternatives for solo freelancers, in short
- n8n self-hosted: the lowest running cost if you are comfortable keeping a small server up to date. The Community Edition has no license fee; you pay for the server and any AI calls.
- n8n Cloud: the same editor, hosted for you. Its plans count executions, where one whole workflow run is one execution, so long workflows do not cost more per run.
- Make: a visual builder that meters each module that runs in a scenario. Good value for short scenarios with many runs; see Make's plans.
- Pipedream: built for people who write a little code. Its pricing uses credits tied to how long each run computes.
- Barside: a free desktop app on Windows, Linux and Mac. Its saved workflows repeat AI assistant jobs inside your notes, by name or on a schedule you approve.
- Zapier stays strong when you need a connection to a niche app quickly, with little setup. Its pricing counts tasks.
We do not quote plan prices on this page, because they change often and every company lists them on its own pricing page. Use the counts below with the current numbers there.
How Zapier, Make, n8n and Pipedream meter your runs
AI automation tools differ less in monthly subscription price than in what they count, and that unit decides whether a workflow costs a little or a lot. As of October 2026, each company's pricing page describes its meter like this:
| Tool | What it counts | What makes the bill grow |
|---|---|---|
| Zapier | Tasks: each action step that runs | More steps and more runs |
| Make | Each module that runs in a scenario | More modules and more runs |
| n8n Cloud | Executions: one per full workflow run | More runs, not more steps |
| n8n self-hosted | Nothing; no license fee for the Community Edition | Your server, your time, your AI calls |
| Pipedream | Credits based on compute time per run | Slow steps and more runs |
| Barside | Nothing; saved workflows are free | Only the AI tokens your provider bills |
The pattern matters more than the plan names. On per-step meters, a workflow you improve by adding a step costs more every month. On per-run meters, you can add steps freely and watch only the run count.
Three freelancer workflows, counted on each tool
Take a freelance designer, Priya, who runs three automations. The numbers below are an example of how to count, using her monthly volumes; put your own in.
- New lead to CRM. A form entry creates a contact, adds a row to her simple CRM, sends a reply email and posts a note to her task list. 40 leads a month, 4 actions after the trigger.
- Newsletter to social drafts. Every weekday morning, an AI reads the newest newsletter and writes three post drafts. 22 runs a month, 3 actions including one AI call.
- Call recap. After each client call, an AI turns the transcript into a recap, tasks and a follow-up email draft. 15 calls a month, 4 actions including one AI call.
| Workflow | Zapier tasks | Make modules (trigger included) | n8n executions | Barside |
|---|---|---|---|---|
| Lead to CRM | 160 | about 200 | 40 | Not a fit: no connectors |
| Newsletter to drafts | 66 | about 88 | 22 | 22 runs, AI cost only |
| Call recap | 60 | about 75 | 15 | 15 runs, AI cost only |
| Month total | 286 | about 363 | 77 | 37 runs, AI cost only |
Compare these totals with each plan's allowance. A small change in volume, such as a busy month with 80 leads, doubles the first row on per-step meters and can push a solo plan into the next tier. That is the most common surprise bill: the workflow did not change, the client count did.
Where AI usage and hosting add to the bill
Cheap automation tools for AI workflows only stay cheap when you know who bills the AI part. There are two ways it shows up.
- Your own AI key. In n8n, Pipedream, Make and Barside you can call Claude, ChatGPT, Gemini or similar with your own account, and that company bills each call. Long prompts, long transcripts and large models cost more per run, whatever the automation tool charges.
- AI inside the automation tool. Some platforms offer their own AI steps or credits. Check on the pricing page whether those count against the same allowance as ordinary steps.
Self-hosting n8n moves the cost from a subscription to a server you rent and maintain: updates, backups, a domain and monitoring. For a freelancer who already runs servers, that is a small job. For one who does not, the hours count as cost too.
For predictable pricing on AI workflow automation, the steadiest setup is a per-run meter or no meter at all, plus a spending limit on your AI account. Barside also has an AI spending limit in Settings → AI for what each computer uses.
How to run an AI workflow in Barside for the cost of your AI
Barside does not connect web apps. It repeats what its AI assistant did once, inside your notes and, on Windows, in other apps on your computer. Priya's second and third workflows fit well.
- Connect an AI in Settings → AI: Claude, ChatGPT or Gemini with an API key, or OpenRouter with a one-click sign-in.
- Open the assistant and give it the job in plain words, such as "Take the newest item in Reading's Newsletters and write three short social posts as notes in Marketing." Let it finish.
- Under its last reply, choose Save as workflow, keep or change the Workflow name, and press Save workflow.
- Open Agents & approvals → Workflows, choose Schedule on the card, pick Weekdays and a time, tick Ask me to run it on this schedule, and press Save schedule.
- Each morning, approve the run in Agents & approvals → Inbox, or press Refuse to skip it.
You can also run a workflow by name: press Alt+Shift+Space in any app, type part of its name and choose Run workflow:. For the call recap, the meeting agent on the Meeting tab can prepare a meeting follow-up after each transcript without a workflow at all.
Which Zapier alternative fits which freelancer
- A copywriter who needs a dozen app connections and no maintenance will likely stay with Zapier or try Make, and keep each workflow short to save steps.
- A developer who freelances gets the most from n8n self-hosted or Pipedream, where code steps and per-run meters keep long workflows affordable.
- A consultant whose automation is mostly writing (recaps, briefings, drafts from reading) can do it in Barside and skip a subscription. A morning briefing agent writes a note from tasks and reminders on a schedule.
- A mix is normal. Many freelancers keep one form-to-CRM flow in an app-connector tool and move the AI writing jobs to wherever the AI cost is lowest.
The subscription cost calculator helps you add the automation plan to the rest of your monthly tools.
Limits to know before you switch
- Barside has no triggers from web apps. A workflow starts when you press Run, from the search bar, or on a schedule you approve. Nothing fires on a new email or form entry.
- Scheduled runs need your computer. Saved workflows run where Barside is open, and nothing runs while the computer is off, asleep or locked. Only the latest missed run from the last 12 hours is made up. With Barside Plus, cloud agents run scheduled agents on Barside's server, but saved workflows stay on your computer.
- Other apps. Typing and clicking in another app works on Windows. On Linux the assistant can focus windows and press keys but cannot read controls inside other apps.
- Numbers. Up to 100 saved workflows, 40 recorded steps each, and 50 scheduled agents.
- Other tools. Moving between Zapier, Make, n8n and Pipedream means rebuilding workflows by hand; budget an afternoon per complex flow.
Privacy
In hosted automation tools, your data passes through that company's servers. With n8n self-hosted, it stays on the server you run. In Barside, saved workflows and their steps are stored in your library on your computer, with typed passwords, keys, tokens and card numbers marked [removed]. When a workflow runs, the request and the notes the assistant reads go to the AI company you connected, whose data policy applies, and Barside sends nothing to its own servers to run it. Notes you leave out of Library AI are never given to the assistant. Read how agents use your data and local-first storage and backups.

FAQ
Questions and answers
What is the cheapest Zapier alternative for a freelancer?
If you can look after a small server, n8n's self-hosted Community Edition has no license fee, so you pay for hosting and any AI you call. If your automations are AI jobs inside your own notes, such as drafting posts or turning a call into tasks, Barside's saved workflows are free and you pay only the AI company you connect.
Why do Zapier bills grow faster than expected?
Zapier counts tasks, and each action step that runs counts as one. A workflow with four actions that runs 40 times uses 160 tasks, and adding one step adds 40 more. Check the plan's task allowance on Zapier's pricing page and multiply runs by actions before you build.
Is n8n cheaper than Make?
Often, for workflows with many steps. n8n Cloud counts a whole workflow run as one execution however many nodes it has, while Make meters each module that runs. For short, simple scenarios the difference is small. Compare the current plans on each company's pricing page with your own run counts.
Can Barside replace Zapier?
For part of the work. Barside's saved workflows repeat what its AI assistant did: reading notes, writing drafts, filing pages, and on Windows typing into other apps. It has no app-to-app connectors or webhooks, so a job like adding every new form entry to a spreadsheet still belongs in Zapier, Make, n8n or Pipedream.
Is Barside free?
Yes. Barside is free on Windows, Linux and Mac, and saved workflows and agents are included. Each run uses the AI you connect in Settings → AI, and that company bills you. Barside Plus is optional at US$20 a month or US$200 a year plus sales tax, and adds cloud agents, cloud sync and encrypted cloud backup.
Do scheduled Barside workflows run when my computer is off?
No. Saved workflows run on your computer while Barside is open, and each scheduled run waits in Agents & approvals → Inbox until you press Approve. With Barside Plus, scheduled agents such as a morning briefing can run on Barside's server as cloud agents, but saved workflows stay on your computer.
