The best AI assistants for task management on Windows in 2026
For task management on Windows, pick a chatbot (Copilot, ChatGPT) to plan, a task app (Todoist, Microsoft To Do) to keep lists, or an all-in-one app like Barside, whose free assistant adds, dates and ticks to-dos inside your notes on your computer.
The best AI assistants for task management on Windows in 2026 fall into three groups, and the right one depends on where you want your to-dos to live. Chatbots such as Microsoft Copilot and the ChatGPT desktop app are good at planning: they turn a messy goal into clear steps. Task apps such as Todoist and Microsoft To Do are good at keeping lists, dates and reminders. All-in-one apps such as Barside put an AI assistant next to your notes, so it can add, date, change and tick to-dos itself, and show you what it did.
We make Barside, so this page says plainly where other tools fit better. Barside is a free desktop app on Windows, Linux and Mac. Its assistant uses an AI account you connect, and your notes and tasks stay on your computer.
The best AI assistants for task management on Windows, side by side
Ranking pages often list chatbots without asking the question that matters for a to-do list: can the AI write the task where you keep your tasks? The table compares five options on that, on price and on where your data lives. Prices change often, so check each company's own page; the notes below are as of October 2026.
| Option | What the AI does with tasks | Price | Where your tasks live |
|---|---|---|---|
| Microsoft Copilot | Plans, drafts and breaks work into steps in a chat | Free to use with paid options | In whatever task app you copy them to |
| ChatGPT desktop app | Plans and drafts lists in a chat window on Windows | Free tier and paid plans on ChatGPT pricing | In whatever task app you copy them to |
| Todoist | A dedicated task manager with projects and due dates | Free plan and paid plans | In your Todoist account, synced across devices |
| Microsoft To Do | Lists, My Day and reminders tied to your Microsoft account | Free | In your Microsoft account, synced across devices |
| Barside | The assistant adds tasks with due dates, ticks or changes them and sets reminders, inside your notes | Free; you pay your AI company per use | On your computer, as checklist items in notes |
Each of these does something well. Copilot and ChatGPT are strong thinking partners for a big, vague project. Todoist and Microsoft To Do have years of polish in the list itself and sync to your phone. Barside's strength is that the assistant and the to-do list share one place with your notes, so a task can sit inside the meeting note or project brief it came from.
What a real task workflow looks like in each
Take one concrete job. Maya, a freelance designer, finishes a client call and needs four to-dos: send the invoice, revise the logo, book a review call and chase a missing brief, with dates.
Copilot or ChatGPT
Maya pastes her call notes into the chat and asks for a list of action items with suggested dates. The chatbot does this well and fast. She then copies the list into her task app by hand, or asks for a format that is easy to paste. The planning is strong, and the step of putting tasks where she tracks them is hers.
Todoist or Microsoft To Do
Maya types each task into the app with its due date, and reminders fire on her computer and phone. The list itself is excellent. The call notes live somewhere else, so the context behind each task is a click or an app away. Check Todoist's plans for which features come with the free plan.
Barside
Maya opens the assistant with Ctrl+Shift+A and types: "Add tasks to my Acme call note: send invoice Friday at 3 PM, revise logo by Monday, book review call next Wednesday, chase the brief tomorrow." The assistant knows today's date and time zone, so "tomorrow" means what she thinks. It adds the four checklist items with due dates to the note, and they appear on the task board built from your checklists under Today, Tomorrow, Next 7 days or Later. A card under the reply lists what changed, with Undo if she wants it gone.
How to run your to-do list with Barside's assistant
An AI to-do list assistant on Windows is most useful when it works where your tasks already are. In Barside, every checklist item in every note is a task, so the assistant needs no separate list.
- Download Barside for Windows, Linux or Mac and open it.
- Press
Ctrl+Shift+A, choose Assistant in the sidebar, or typeaiin the search bar. - Under Connect an AI to start, pick Claude, ChatGPT, Gemini or OpenRouter. For the first three, Barside opens the company's key page; copy a new key and Barside picks it up from the clipboard. OpenRouter is a one-click sign-in.
- Type a request in the box that says "Ask Barside to do something…" and press Run. Try "List my overdue tasks across all workspaces" or "Add 'renew passport' due the 15th to my Life workspace."
- Open Tasks in the sidebar to see the result, grouped as Overdue, Today, Tomorrow, Next 7 days, Later and No due date.
The assistant can list your tasks across workspaces, add a task with a due date, tick or change one, and set a reminder on a note. Additions apply at once. Anything that removes or rewrites existing text shows a before and after and asks Approve changes or Don't change. If you prefer to talk, choose Install speech in Assistant settings, and Whisper turns your voice into text on your computer; see Hey Barside voice commands.
Alternatives to Microsoft Copilot for managing to-do lists
If you want an alternative to Microsoft Copilot for managing to-do lists on Windows, the deciding question is whether you want a chat that plans or an assistant that edits your list. ChatGPT's desktop app is the closest like-for-like: another general chat assistant with its own strengths in writing and reasoning. Todoist and Microsoft To Do are the alternative if you mostly need a reliable list with reminders and phone sync.
Barside sits between them. It is an assistant with tools for your notes, tasks, reminders, Reading and browser tabs, and it can choose Claude, ChatGPT, Gemini or a model through OpenRouter as its brain. On Windows it can also work in other apps: before it types or clicks anywhere outside Barside, a Review computer action card shows exactly what it will do, with Approve this action and Cancel action. Free desktop AI assistants for tasks and notes
The best free desktop AI assistants for tasks and notes are the ones where the free part covers what you use every day. Copilot and ChatGPT both have free tiers, with limits set by each company. Microsoft To Do is free, and Todoist has a free plan. In all of these, notes and tasks usually live in separate places.
Barside itself is free, with no note or workspace limit and no account. It has no AI of its own, so the assistant runs on an AI account you connect: an API key, billed per use by that company, or your Claude or ChatGPT plan through My plan. A short task request costs little, but costs add up with long notes and large models, so set a cap under AI spending limit in Settings → AI: turn on Limit what Barside's AI spends and choose a daily, weekly or monthly amount.
If you would rather start without AI, the free to-do list template gives you Today, This week, Waiting and Someday sections in a note, and the task board picks them up.
AI to-do list automation: schedules, follow-ups and briefings
An AI task manager in 2026 should do some of the list-keeping for you, without acting behind your back. Barside's AI agents work on that rule: they read and write their own notes freely, and every task, reminder or email draft they propose waits in Agents & approvals → Inbox until you press Approve or Refuse.
- A morning plan. The Morning briefing preset writes a note on weekdays at 8:30 AM from your open tasks, reminders, recent notes and calendar. Want the facts without AI? The daily briefing shows what is due on one live page.
- Tasks from calls. Tick After each call transcript, prepare a follow-up on the Meeting tab, and after a transcribed call a Follow-up checklist and reminders wait for your approval. See meeting follow-up and action items.
- Your own routine. Ask the assistant once, for example "List what is due today and draft a morning plan in a new note," then choose Save as workflow. On the Workflows tab, Schedule it for weekdays; each run asks in the Inbox first. The saved workflows guide shows every step.
A team lead might keep the Weekly review preset on Fridays at 4:00 PM, so stuck tasks surface before the weekend. A student might save "Add every deadline in this syllabus note as a dated task" and run it by name from the search bar at the start of each course.
Where your tasks and data live
Where data lives is the quiet difference between these tools. Todoist and Microsoft To Do keep your lists in your account so they can sync to every device. Copilot and ChatGPT keep your conversations with their companies, under their own policies.
In Barside, notes and tasks are saved in Barside's data folder on your computer and work offline. When you ask the assistant something, your request, the matching notes and the tool results it needs go to the AI company you connected, and that company's policy applies. Workspaces and notes you untick in Library & briefing → Sources stay out of Library AI and agents. With Barside Plus, cloud sync keeps your library the same across your computers; sync is not end-to-end encrypted. Read the AI you connect and your data and local-first storage and backups.
Limits to know before you choose
- No phone app. Barside is a desktop app. If you add most tasks from your phone, Todoist or Microsoft To Do will suit you better, or keep one of them for errands.
- One request at a time. The assistant works through up to 40 steps per request, and Stop ends a run; finished actions stay in place.
- Other apps differ by system. On Windows the assistant reads and operates other apps' controls after your approval. On Linux it can focus and minimize windows and press keys but cannot read controls inside apps. Barside for Mac reads them through System Events once you allow it. Tasks, notes and reminders work the same everywhere.
- Schedules need your computer on. Scheduled agents and workflows do not run while the computer is off, asleep or locked; only the latest missed run from the last 12 hours is made up. With Barside Plus, scheduled agents can run as cloud agents, while saved workflows stay on your computer.
- AI makes mistakes. Read approval cards before you allow them, and use Undo freely.

FAQ
Questions and answers
Which AI assistant can add tasks to my to-do list on Windows?
Barside's assistant adds a task with a due date, ticks or changes one, and sets a reminder on a note, and the tasks show on its task board. General chatbots such as Copilot and ChatGPT are strong at planning and breaking work into steps, and you then move the list into your task app. Check each product's own pages for what it can write into today.
Is Barside free?
Yes. Barside is free on Windows, Linux and Mac, and the assistant, task board and agents are included. The assistant uses an AI you connect in Settings → AI (Claude, ChatGPT, Gemini or OpenRouter), and that company bills you for what you use. Barside Plus is optional at US$20 a month or US$200 a year and adds cloud sync, encrypted cloud backup and cloud agents.
Can I use my ChatGPT Plus subscription in Barside?
Yes, from Barside 1.59. In Settings → AI, choose My plan on the ChatGPT card: Barside runs Codex on your computer, signed in with your ChatGPT account, so your plan's limits apply. A Claude plan works the same way through Claude Code. Anthropic and OpenAI have not said that apps may use a plan this way, so an API key is the safer choice. With a key, the account is billed per use, and you can cap it with an AI spending limit in Settings → AI.
Can the AI undo a task it added by mistake?
In Barside, yes. After each reply that changed something, a card lists what changed, and Undo removes the tasks, reminders and notes it added and restores notes it edited. Undo all changes in this conversation reverts every reply, and it still works after Barside restarts.
Where are my tasks stored?
In Barside, tasks are checklist items inside your notes, saved in Barside's data folder on your computer, with no account needed. When you use the assistant, your request and the notes it reads go to the AI company you connected. Cloud task apps such as Todoist and Microsoft To Do keep your lists in your account so they sync across devices.
Can an AI agent manage my to-do list on a schedule?
In Barside, a scheduled agent such as the Morning briefing preset writes a note from your open tasks, reminders and calendar at a set time. Tasks or reminders it suggests wait in Agents & approvals → Inbox until you press Approve. You can also save an assistant request as a workflow and schedule it, and each run asks first.
Does Barside's assistant work on Linux?
Yes. Everything that stays inside Barside, such as notes, tasks, reminders and agents, works the same on Windows, Linux and Mac. Typing and clicking in other apps works on Windows. On Linux the assistant can focus windows and press keys but cannot read the controls inside other apps, and Barside for Mac reads them through System Events.
